Project handover guide
A practical close-out checklist for records, format settings, training, spare parts and acceptance evidence after a labelling-machine project.

Machine handover is more useful when operating information, drawings, format settings, acceptance evidence and open actions are kept together. The exact document set depends on the project scope and what has been contractually supplied; it should not be assumed from a generic checklist.
Assign an owner for the site record and identify the machine, serial or project reference, installed location and current software or recipe version. Store the latest approved issue rather than several unmarked copies.
| Scope and configuration | Approved machine layout, label-head arrangement, conveyors, sensors, coding, inspection, reject equipment and format parts. |
|---|---|
| Operating information | Normal startup, shutdown, format selection, label loading, alarm recovery and operator checks. |
| Maintenance information | Planned inspection, cleaning, lubrication where applicable, wear items and safe access requirements. |
| Electrical and control records | Supplied drawings, I/O information, backups or software records where included in the contract. |
| Parts and tools | Change parts, special tools, critical spares, consumables and storage identification. |
| Acceptance evidence | FAT/SAT protocol, results, placement measurements, approved samples and closed punch-list items. |
Format records
Container drawing, dimensions, fill condition, closure, label artwork and production roll references.
Guide width, belt and hold-down position, label-head height and angle, sensor position and change parts.
Product delay, dispense speed, label length or teach values and any coordinated camera or coder recipe.
Photographs or retained samples showing nominal front and back position and acceptable visual finish.
Ordered steps, required tools, checks before restart and the point at which a first-off sample is approved.
Record who changed a setting, why it changed and which format version is now approved.
Training should use the installed machine, current documents and representative formats. Record the topics covered and who attended rather than treating attendance alone as evidence of competence.
Use the FAT and SAT checklist, the operator training page, the spare-parts support page and the maintenance checklist.
A project can move into production with agreed open actions, but each item should have a clear status, owner, due date and required closure evidence. Distinguish a cosmetic observation from an item that affects safety, performance, documentation or production release.
Share the project scope, formats, acceptance plan and training requirements before commissioning. Lancing can help align the handover evidence with the supplied machine and agreed support package.
